    Audit before exporting

    In your current CRM, run a deduplication report. Delete test contacts and clearly dead data. Export only: contacts with email, companies with at least one deal, open deals, and closed deals from the last 2 years. Exporting everything creates a migration project 3× larger than necessary.

    Map fields before importing

    Create a field-mapping spreadsheet: old field → new field → transformation needed. Common pitfalls: date formats (MM/DD vs DD/MM), phone number formatting, custom dropdown values that don't match. Fix in the spreadsheet — not in the CRM after import.

    Test import with 100 records

    Import a sample that includes your edge cases: contacts with no email, deals with multiple associated contacts, notes with special characters. Review every field. Only proceed to full import after the sample is clean.

  4. 04

    Run both CRMs in parallel for 2 weeks

    New deals enter the new CRM. Existing deals stay in the old CRM until closed. Set a hard cutover date. This gives you a fallback without creating permanent dual-entry confusion.
